Dormitory move-out Guide
Upon moving out of the International Residence, students are expected to follow the guidelines below;
- Submit the Notice of Withdrawal form
- Settle all unpaid dormitory fees
- Notify City Hall about moving
- Close your Japan bank account
- Apply for "Tenkyo Service"
- Cancel mobile phone contract
- Dispose or transfer of ownership of a bicycle
- Apply for international mail
- Return all borrowed books to the library
- Get a refund from the Co-op
- Pay for oversized garbage and bedding disposal fee
- Settle utility bills
- Clean the room
- Finally, return your room key(s)
1. Submit the Notice of Withdrawal form to the Student Exchange Division at least one month before the date you move out.
2. Settle all unpaid dormitory fees.
?If you have unsettled payment, please visit the Student Exchange Division?at your earliest convenience.
3. Notify City Hall about moving.
Please refer to the following instructions according to your situation and complete the procedure within the specified period.

- Residence Card
- Passport
- National Health Insurance Card
- My Number Card (only for students who have)
- (only for students who are returning to their countries)
Air ticket/ email/ web site with your flight schedules
4. Close your Japan bank account.
For closure or change of address procedures, please bring your bank cash card, residence card, and hanko (only if you have) to any post office in Japan.
Note: The nearest branch from TUFS is Momijigaoka Post Office (open from 9 a.m.- 4 p.m.).
5. Notify Japan Post about the transfer and avail of their “Tenkyo Service” before moving. (Only if you are moving within Japan)
Tenkyo Service is a free service that forwards mails sent to your new address.
This service is valid for one year only. For further details, please visit the website.

6. Cancel mobile phone contract.
Students moving back to their home country are expected to cancel their contract and settle payments before moving out. Students moving out from the dormitory are expected to change their registered address for mobile phone statements and settle payments before moving out.
7. Dispose or transfer of ownership of a bicycle.
- For disposal: Notify the Student Exchange Division for proper assistance.
- For transfer of ownership: Visit the Student Exchange Division counter to fill out?Transfer Certificate form. A new owner is required to register for bicycle security.
8. Apply for international mail on the web in advance before sending packages to your home country.
By the time your package arrives abroad, there will be customs inspections. Please apply for international mail on the web site (Japan Post International Mail My Page Service) at https://www.post.japanpost.jp/intmypage/whatsmypage_en.html in advance before sending packages. Note: Items cannot be sent as international mail are as follows: Spray cans/ Perfumes/ Mobile battery/ Manicure/ Alcoholic beverages/ Electronic cigarettes/ Cosmetics or sunscreens or hair tonic with an alcoholic content of more than 24 %
9. Return all borrowed books to the library.
Please do not forget to return all borrowed books to the library, before your move out.
10.Get a refund from the Co-op (University Cooperative) if you have paid for the membership fee.
For details, please inquire at the Co-op counter.?
11.Pay for oversized garbage and bedding disposal fee at the Dormitory Management Office.
- Bedding: Dispose or keep the bedding. For disposal, please follow the steps below;
- Put disposal fees in an envelope and write your name and room number on it. Please refer to the following amount of disposal fees: Blanket: 500 Yen, Pillow: 200 Yen, Bed pad: 200 Yen.
- Visit the Dormitory Management office to apply or disposal and hand over the envelope you prepared to the Dormitory Manager by one week before move-out date.
- 【Dormitory 1 and 2】Leave your beddings in the mailbox area.
【Dormitory 3】Leave your beddings in front of the Dorm manager office.
Remember to label your item/s with your room number.
- Others: Disposal fees vary depending on the items. Please refer to the oversized garbage criteria below;
- Items with a maximum length (longest side) of 40 cm or longer.
- Electrical items with a maximum length (longest side) of 30 cm or longer.
- Stick-shaped items over 80 cm in length.

12. Settle utility bills.
You are required to settle water/electricity payment slips received before your move-out date promptly.?
- Water payment: A staff from the water company will visit your room to collect money for the final payment in cash on the day of move-out, between 10a.m. and 12 p.m. (noon). If you need to leave early in the morning on your move-out date, you can settle payment any time between 10 a.m. and 4 p.m. one day before. Please designate your available time zone in the Notice of Withdrawal.?
- Electricity bill: Please settle all payment slips received prior to the move-out date at a convenience store.
13. Clean the room.
You are required to bring all of your belongings with you and clean the room before leaving. Please refer to “Checklist” for details.
The dormitory manager will check the condition of your room based on “Checklist” approximately 7~3 days before your move-out date. The scheduled date and time will be announced by the manager in advance by putting a note on your door.
Even if you are not present, the dormitory manager will unlock the door with the master key and conduct room checks as scheduled. If you do not wish the dormitory manager to enter your room in your absence, please notify the Dormitory Management Office.
14. Finally, return your room key(s) to the Student Exchange Division or the Dormitory Management Office.
For Dormitory No.2 residents, please return the mail box key and the communal shower access card (Shower Card) as well. If the key (and shower card) are not returned, a replacement fee will be charged at a later day.
★Important Reminders
- Utility services can be used until the day you leave the dormitory.
- We recommend you to keep all the receipts of your utility payments until you leave the dormitory for reference purposes.
- Please make sure to personally pay your bills. It is not permitted to ask someone else to settle any payments on your behalf.
- Please inform the Student Exchange Division if you find any damages in your room.
- Please make sure to turn off the main switch of the circuit breaker when you leave your room.?
